Production Assistant

At UNIT9 we are looking for a Production Assistant with a good finance understanding to focus on supporting the team in financial, contractual and budgeting related activities.

The Finance Assistant/ Production Assistant will work within UNIT9, supporting two departments:

UNIT9 Experiential, following the execution of a project for an automotive client

U9T, the department within responsible for running R&D activities in the field of technological innovations. Clients range from UK publicly funded organisation to European funded entities as well as private organisations.

As a Production Assistant for UNIT9 Experiential you will ensure that the client Purchasing/Procurement guidelines are adhered to on the production and will liaise with the Procurement department to progress invoicing and any out of scope purchasing Responsible for maintaining and monitoring the purchase order log, ensuring all transactions are entered accurately in the appropriate accounting system and resolving any client or supplier queries.

At U9T the Production Assistant will be in charge of managing the cost reporting, the activity reporting and to liaise with the lead of the consortium as well as with the public organization who is managing the funds for all those activities that involved cost and activity report creation. The Production Assistant will undertake a range of accounting and reporting tasks, recording transactions in the production’s books and assisting in the preparation of cost reports. Additional duties could include everything from helping with time and daily management, scheduling of meetings, correspondence, and note-taking as well as booking resources.

Production Assistant responsibilities:

Acting as the first point of contact for financial activities related to the experiential project and the grant projects U9T has secured and for those funding U9T is applying for

Working with spreadsheets to manage and control the budget

Booking resources and looking at budget vs timesheets

Keep track of reporting deadlines (both costing and activities) and organize the execution of related legal and financial activities

Typing, compiling and preparing reports, presentations, and correspondence related to the U9T reporting activities

Managing databases and filing systems

Implementing and maintaining procedures/administrative systems

Collating and filing expenses

Conducting research on behalf of the manager
