Production and Administrative Assistant (full-time/on-site)

The Production and Administrative Assistant’s primary role is to support the Producer and project team in the creation and delivery of award winning work.

They also support the various members of the management team in certain administrative tasks such as coordinating various internal and external corporate projects and events, particularly when in relation to purchasing and tracking expenses and delivery of items.



The Production Assistant works across different types of projects including Experiential, Web, Games and AR/VR.

They bring a flexible approach to his/her work as the requirements and tasks for these different productions will vary.

Their aim is to solve problems and remove obstacles so the team can work as efficiently as possible.

The Producer and the wider UNIT9 Production team support them, as they learn the role and gain experience.




-Support the Project team on allocated pitches/ productions.

-Contribute to Project Documentation and help ensure it is up to date (i.e. production deck)

-Assist with the planning and management of Jira sprints

-Assist with the planning and population of project backlogs

-Assist with the planning of production schedules.

-Assist with identifying of potential project risks, resolving blockers proactively and escalating where appropriate

-Assist in the management and distribution of project assets

-Assist with weekly project reporting

-Arranging meetings and capture accurate meeting notes and feedback

-Participate in Stand-ups

-Prepare call sheets

-Help to refine our working processes allowing projects to be run even more efficiently

-Preparation of materials for Client and internal project reviews

-Be on-site for event launches as needed

-Research & Purchasing

-Organize hardware purchases and software licenses for assigned projects

-Travel (flights/trains/hotels/taxis/transfers) research and bookings

-Researching for products/suppliers/services for estimates on fabrication, manufacturing and rental requirements.

-Liaising with suppliers on deliveries, payments, setting up credit accounts

-Store items for projects

-Sort out damaged goods for  projects and organise returns as needed



-Courier booking – sort out collection/drop off/interim storage

-Sorting out customs issues with post/couriers/shipments

-Sorting out packing for parcels

-Research and book catering for client meetings

-Research and book restaurants for events/clients

-Tidying up meeting rooms post events

-Completing documentation for random things (credit accounts/supplier documents

Comfortable providing ad hoc support, i.e. booking couriers, arranging visitors
